Using Lotus Notes as a Email Client would be possible for all the Office Users Only. Most of us get huge number of Emails, which need to be archived on the daily basis, so thought of sharing a way to create Better Archive Criteria for more effective Archiving with Screenshots, which would be automated & Archive all your Mails older then 1 day. Directly coming on to the Steps to Create a Effective Automatic Archive Criteria in Lotus Notes :
- Open Lotus Notes
- Click Actions Menu on top of the Lotus Note Screen.
- Click Through Actions / Archive / Create Criteria… Opens ” Create Archive Criteria” Window
- Under Specify General Criteria Information, Type the Name for you Archive Criteria, in our case “1 Day Archive” & Tick the Option saying “Enable this Criteria“
- Under “What Criteria Should be Used to Select Document ?” section Click Selection Crieria, which opens Popup to select the folders to be selected while archiving.
- In our Case, We Have selected Older than 1 Day option as see in above Snap. Click Ok
- Provide the Archive Address, which I suppose would be already available if your in Office, so no need to change it.
- Click the Last Option saying ” Remove archived Documents from this application“
- Click OK. Again Click OK now on Archive Setting Popup which was open in background.
- You have made a New Archive Criteria for your Lotus Notes in Office.



Next you can Archive all the Emails older then 1 day, by clicking Actions / Archive Now Command from the File Menu. No need to select all the documents manually.
